Golf Haven Group designs, builds, hosts, and maintains websites for golf courses and country clubs. We are a small business based in Dallas, Texas, and we operate this website at golfhavengroup.com.
In this policy, "we," "us," and "our" mean Golf Haven Group. "You" means anyone who visits this website, contacts us, or books a tee time through a TeeBook booking page on a course website we host.
02Two different roles
We handle personal information in two distinct ways, and it matters which one applies to you.
When you contact us directly
If you fill out the form on this website or email us about a project, we decide how that information is used. We are the controller of it, and this policy governs it completely.
When you book a tee time on a course website
Golf courses hire us to build and host their websites, and many of them add TeeBook, our tee-time booking engine. When a golfer books a round through one of those sites, the booking information belongs to the golf course. The course decides how it is used. We process and store it on the course's behalf as its service provider, under our services agreement with that course.
What this means in practice. If you booked a tee time and want your information corrected or deleted, the fastest route is to contact the golf course directly. You can also email us at ben@golfhavengroup.com and we will pass your request to the course and act on its instruction.
03Information we collect on this site
We do not require an account and we do not run advertising or analytics tracking on golfhavengroup.com. The information we collect falls into three groups.

All of this is voluntary. If you would rather not use the form, email us directly and we will collect only what you choose to put in the email.
Information collected automatically
Our site is hosted on Cloudflare Pages. Like nearly every web host, Cloudflare records standard server and security log data when a page is requested, including your IP address, browser and device type, the page requested, referring page, and the date and time. We use this to keep the site running, diagnose problems, and defend against abuse and denial of service attacks. We do not use it to build a profile of you.
Information collected by fonts
This site loads the Fraunces and Inter typefaces from Google Fonts. When your browser requests a font file, Google receives your IP address and basic browser information as part of that request. We do not receive that data, and we do not use Google Analytics, Google Ads, or any Google advertising product on this site.
04Information collected through TeeBook
TeeBook is the booking engine we build into course websites. When a golfer books a tee time through it, the booking form collects:
- Name
- Phone number
- Email address
- Number of players in the group
- Number of holes and whether a cart is requested
- Any notes the golfer adds to the booking
- The requested date and time
- Whether the golfer checked the box to hear from the course by email
This is stored in a Cloudflare D1 database that we operate for the course. A confirmation email is sent through Resend, our email delivery provider. The course's pro shop staff can see the day's bookings through a console protected by a staff PIN.
The course's golfer list
Each successful booking also adds or updates a row in a contact list belonging to that golf course, keyed to the golfer's email address, holding name, phone, email, how many times they have booked, and whether they opted in to marketing email. The course can export this list. It is the course's list, not ours, and we do not merge lists across courses or use them for our own marketing.
The marketing opt-in is off unless the golfer checks the box. Once checked, it stays on for that course until the golfer asks to be removed. Leaving the box unchecked on a later booking does not turn it off, so if you want off a course's email list, tell the course or email us and we will remove you.
Staff login security
When someone enters an incorrect pro shop PIN, we record the IP address and the number of failed attempts so we can temporarily lock out repeated guessing. This is used only to protect the course's booking data.
What TeeBook does not do. TeeBook does not take payment, so we never see or store card numbers. It does not send golfer data to GolfNow or any other tee-time marketplace, advertising network, or data broker. It does not track golfers across other websites.
06We do not sell your data
We do not sell personal data, we do not share it for cross-context behavioral advertising, and we do not use it for targeted advertising or for profiling that produces legal or similarly significant effects.
We also do not collect sensitive personal data as Texas law defines it. That means we do not collect information revealing racial or ethnic origin, religious beliefs, mental or physical health diagnoses, sexuality, citizenship or immigration status, genetic or biometric data, precise geolocation, or data from a known child.
08How long we keep information
- Contact form inquiries. Kept while we are in conversation and for up to three years afterward, so we have a record of what was discussed and quoted.
- Client records. Kept for the life of the engagement and as long afterward as we need for tax, accounting, and contract purposes.
- TeeBook bookings. Kept for as long as the course asks us to keep them, so the pro shop can look up past rounds. When a course leaves TeeBook, we delete its booking and golfer data at its instruction.
- Failed PIN attempt records. Kept only long enough to enforce the lockout window.
- Server and security logs. Kept on our host's standard retention schedule, which is short.
09Your privacy rights
Texas residents have rights under the Texas Data Privacy and Security Act, and residents of other states have comparable rights under their own laws. We extend the following rights to everyone who contacts us, regardless of where they live:
- Know and access. Confirm whether we are processing your personal data and get a copy of it.
- Correct. Fix inaccuracies in the personal data we hold about you.
- Delete. Ask us to delete the personal data we hold about you.
- Portability. Receive a copy in a portable, readable format where we hold it digitally.
- Opt out. Opt out of the sale of personal data, targeted advertising, and profiling with significant effects. We do not do any of these, so this is a right you should never need to use with us.
- Non-retaliation. We will not deny you service, charge you a different price, or give you a lesser experience because you exercised a privacy right.
If you are a California resident, you also have the right to know the categories of personal information we collect and the purposes for which we use them, both of which are set out in sections 3 through 5 above, and the right to use an authorized agent to make a request on your behalf.
10How to make a request
Email ben@golfhavengroup.com with the subject line "Privacy Request." Tell us what you want us to do and give us enough information to find your records, usually the email address or phone number you used.
We will verify that the request really comes from you, normally by replying to the email address already on file. If we cannot verify it, we will tell you why rather than act on it.
We respond within 45 days. If the request is complex we may take one additional 45 day extension, and we will tell you before we do.
If we say no
You may appeal. Reply to our decision email with the word "Appeal" and tell us why you think we got it wrong. We will review it and give you a written answer within 60 days. If we deny the appeal, we will give you a way to complain to the Texas Attorney General, whose consumer privacy complaint form is at texasattorneygeneral.gov.
Requests are free. If someone sends repeated or clearly excessive requests, we may charge a reasonable fee or decline, and we will explain why.
11How we protect information
Every site we build is served over HTTPS. Booking data lives in a managed Cloudflare database rather than on a shared server we administer by hand. Pro shop and admin consoles are gated by a PIN or an admin key, with automatic lockout after repeated failed attempts. Access to client and golfer data is limited to the people who need it to do the work.
No system is perfectly secure, and we will not pretend otherwise. If a breach ever affects your personal information, we will notify you and the appropriate authorities as the law requires.
12Children
This site and our services are meant for businesses and adult golfers. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us information, email us and we will delete it.
13Other sites we link to
Our Work section links to demonstration sites and to websites we have built for client courses. Client sites are operated by those courses and are governed by their own privacy practices.
Our demonstration sites use fictional courses and fictional contact details. Most demo forms only simulate a submission and send nothing anywhere. A few demo booking pages run the real TeeBook engine against a demonstration database so prospective clients can see it work end to end, and a booking made on one of those pages is genuinely stored. If you entered real details into a demo and want them removed, email us and we will delete the record.
14Changes to this policy
We will update this page when our practices change. The effective date at the top always tells you which version you are reading. If we make a change that materially affects how we handle personal information already collected, we will post a notice on this page and, where we have your email address and the change warrants it, tell you directly. Continuing to use the site after a change means you accept the updated policy.
